Wherever you are starting from

Four reasons teams move to vFairs. We have run all four.

Migration is not one situation. Find the one that sounds like yours, because the plan changes depending on where you are.

1

Your event is live and you need out fast

Challenges hit mid-flight and you cannot wait for a renewal date. We migrate in-flight events first and keep registration open the whole time.

2

You have outgrown a point tool

Your current provider does just registration, or just an app. Now you need the full event in one place, without bolting on three more vendors.

3

Renewal regret, with a deadline

Years of setup on a platform you are frustrated with, and the next event is close. We replicate the work so you do not rebuild it from memory.

4

You are still on spreadsheets

Your data lives across sheets and disconnected tools. We get it into a real event platform cleanly, without the manual slog.

We squash the fears first

We built our migration around what keeps you up at night.

The platform switch itself is rarely the hard part. The fear of what could break is. Here is how we take each one off the table.

“My live event will break.”

Your active registration pages get replicated and tested on vFairs first. Registrants import before cutover, and we switch during a low-traffic window so attendees never hit a gap.

“There is too much data, across too many product areas.”

Website, registration, ticketing, badges, app, email, speakers, exhibitors, reporting. We port each stream and validate it before go-live, not after.

“I have customizations I cannot get out.”

Custom forms, conditional logic, branded templates, and badge designs get rebuilt to match by our team. You reverse-engineer nothing.

“My integrations have to keep working.”

Salesforce and HubSpot connections are rebuilt and tested before your first live event. Our API handles the custom ones.

What moves over

Everything comes with you. And most of it gets better.

Other platforms hand you an export file and a help doc. We rebuild each product area on vFairs, often improving it along the way. Here is what that looks like, area by area.

Site web de l'événement

We do not just copy your site. We build a better one.

Send us your current event website and our design team rebuilds it in the vFairs drag-and-drop builder. Same brand, cleaner structure, faster pages, multi-language out of the box.

  • Rebuilt page by page in a drag-and-drop builder, no developer needed
  • Highly custom design requests absorbed by the vFairs design team.
  • Multi-language and WCAG-compliant pages ready for a global audience
  • Saved to your org library and reusable across every future event.
We do not just copy your site. We build a better one.
Inscription

Your registration flow, ported with the data intact.

We move registrants by API or clean CSV and validate every record before go-live. Then we recreate your forms, including conditional logic and session-linked signup, so attendees see the flow they already know.

  • Imported by native API or validated CSV, with data integrity checks before cutover.
  • Custom forms rebuilt to match your old flow, with and-or conditional logic.
  • Session-linked registration so attendees pick sessions as they sign up.
  • Group and tiered registration carried across without manual rework.
Your registration flow, ported with the data intact.
Badge printing

We match your badge design and run it on any printer.

Our design team recreates your badge layout exactly. It runs on whatever printer you have, and if you do not have a branded kiosk, we provide one. Need smart badges or facial recognition? They run on the same platform.

  • Badge design matched by our team, any major printer supported (Zebra, Epson, Brother, HP, Evolis).
  • Branded self-serve kiosks provided if you do not have them.
  • RFID & BLE smart badges available on the same platform.
  • Badges print in under 10 seconds, pre-printed or on demand at the door.
We match your badge design and run it on any printer.
Mobile event app

Your branded app, listed and live in about a week.

Build the app in a drag-and-drop builder, then hand white-labeling to our team. We get your listing into the App Store and Google Play in roughly 7 to 10 days, subject to Apple review.

  • Drag-and-drop app builder with feature toggles, no dev team.
  • Full white-label and app store listing handled by the vFairs team.
  • Listing typically live in 7 to 10 days, Apple review dependent.
  • Agenda, networking, push notifications, and a digital badge built in.

Multiple events

Migrate once, then move faster every event after.

We port years of past events into one org-level dashboard. Your exhibitors, speakers, content, and attendee lists carry forward, so every future event starts from what you already built.

  • Past events consolidated into a single organizational dashboard.
  • Reuse exhibitors, speakers, sessions, and content across events.
  • Clone a past event on the same URL to launch the next one fast.
  • Cross-event reporting to spot trends across your whole program.
Migrate once, then move faster every event after.
And the rest comes with you

Every other product area ports too, on the same platform.

Email marketing

We port your email templates, reminders, and recreate your segments in the drag-and-drop builder. Custom templates rebuilt by our design team.

Abstract management

Submission forms, review tiers, and accepted abstracts move over, then convert straight into agenda sessions and speaker profiles.

Virtual events

2D or 3D environments that scale past 100,000 attendees. Planning a custom 3D world for your virtual track? Our design team builds it.

Speaker management

Speaker portals, bios, headshots, and session materials port across, syncing live with your site, agenda, and app.

Exhibitor portal

Booth data, leads, and exhibitor profiles move with you, including 3D booths and the lead-capture setup your sponsors rely on.

Rapports

Historical reporting exported before your old contract closes, then rebuilt in Reporting 360 with saved and scheduled dashboards.

Intégrations

2,000+ integrations (via Zapier), native HubSpot and Salesforce connections, and an API that rebuilds your custom connections and tests them before your first live event.

Why migrations hold together with vFairs

Other platforms claim a migration. We take it a notch further.

Anyone can move a CSV. The difference shows up in who runs the move, how fast the rebuild happens, and what you are switching to.

A dedicated project manager and a 24/7 team lead the move.

You get a named project manager who plans and runs the migration end to end, backed by a 24/7 support team ready to step in. Not a help doc that leaves you on your own.

We rebuild fast because we build visually.

Drag-and-drop builders for sites, emails, apps, and badges, plus a design team that absorbs highly custom requests across websites, email templates, badge designs, and 3D virtual environments.

2,000+ integrations, and an API team for the rest.

Native HubSpot and Salesforce integrations, 2,000+ apps connected (via Zapier), and an API that builds custom integrations quickly when your stack needs it.

You are switching to a recognized leader.

Gartner Magic Quadrant Leader two years running and 4.7 on G2 across thousands of verified reviews. The destination is an upgrade, not a gamble.

Migration questions, answered.

Will my live, in-flight event keep taking registrations during the switch?

Yes. Events already open for registration migrate first. We replicate and test your active registration pages on vFairs, import existing registrants, and cut over during a low-traffic window. Attendees never see a gap, and registrations keep flowing the whole way through.

How long does a migration take?

Most teams are fully operational on vFairs within a few weeks of kickoff. A clean, single-event port can be ready in under two weeks. Larger multi-event programs with custom integrations take longer, and your project manager gives you a dated plan up front so there are no surprises.

What data actually comes over?

Registrations and tickets, attendee records and custom field responses, session selections, speaker and exhibitor data, badge designs, email templates and segments, your integrations, and historical reporting. We port each product area, validate the records, and confirm the data is intact before anything goes live.

I have custom registration forms and complex flows. Can you replicate them?

Yes. We rebuild your forms in the vFairs builder to match the flow your attendees already know, including and-or conditional logic, group and tiered registration, and session-linked signup. Where the old flow had friction, we often make it cleaner in the rebuild.

What happens to my Salesforce, HubSpot, and custom integrations?

Native HubSpot and Salesforce connections are rebuilt and tested before your first live event. For anything custom, our API handles the build. With 2,000+ integrations available (via Zapier), most of your stack connects without custom work at all.

Can you match my existing event website and badge design?

Yes. Our design team rebuilds your event website and badge layouts to match your brand, and absorbs highly custom design requests across landing pages, email templates, badges, and 3D virtual environments. The goal is parity at a minimum, and an upgrade where we can.

I have years of past events across multiple tools. Can you consolidate them?

Yes, and this is where a migration pays you back. We bring past events into one org-level dashboard so your exhibitors, speakers, sessions, and content carry forward. Future events start from what you already built, and you can clone a past event to launch the next one fast.

My data is in spreadsheets, not a platform. Can you still migrate me?

Absolutely. Plenty of teams come to us from spreadsheets and a handful of disconnected tools. We structure and import that data cleanly into vFairs, set up your registration, badges, and reporting, and get you onto a real event platform without the manual slog.

Do I need a technical team on my side to do this?

No. Your dedicated project manager and our team do the heavy lifting, from data import to rebuilding your site, badges, app, and integrations. You review and approve along the way. If you do have a technical team, our API works alongside them.

Do you handle in-person, hybrid & virtual events?

All three, on one platform. vFairs runs in-person, hybrid, and virtual events, so consolidating onto vFairs usually means retiring a few separate tools at the same time.
