Aviagen used several tools to manage their events.
For example, they had one tool for registrations, another for storing attendee information, and yet another for communication.
This ‘siloed’ approach led to a lot of manual work, and challenges in managing their events effectively. Plus, they had to set up the same processes again and again for subsequent events, wasting time and effort.
Attendee check-in was tedious. Organizers manually confirmed registrations from long lists and assigned pre-printed badges. This led to long queues and was not an ideal opening experience for the attendees.
Unexpected schedule changes, speaker delays, or announcements often occur during events. Aviagen wanted a way to effectively communicate real-time updates with the attendees during the event. On the other hand, they wanted to hear from their attendees as well, for example, whether they had any questions related to the sessions, etc.
vFairs allowed Aviagen to streamline all their event-related tasks under one roof. They quickly set up a customized event webpage from a set of pre-existing templates.
The check-in process was quick and easy with QR-code-based check-ins which was followed by attendees getting a personalized badge that was printed onsite.
The comprehensive event app guided attendees with features such as agenda details, speaker bios, and Q&A, enhancing engagement and simplifying navigation. Notifications ensured that attendees stayed updated throughout the event.
Aviagen needed a solution that could handle every part of their event, from start to finish, all in one place. Plus, they wanted a platform they could reuse for future events.
