How to Build an Event Floor Plan With vFairs

Setting It Up, Step by Step

  1. Go to Event Setup and scroll down to Event Features
  2. Click Add next to Venue Builder
  3. Open Venue Builder from the left-hand menu and go to Floor Plan
  4. Create a hall and add multiple floors under it.
  5. Click into a floor. Start from a preset template, a blank canvas, or upload your venue map as a background image

Design On A Grid, In Real Venue Dimensions

The canvas works on a grid set to your venue’s real dimensions. Choose feet or meters, size the grid to your space, and drag booths into place. Snap to grid pulls each booth onto the nearest line, so your rows stay straight and your spacing stays even, and the real dimensions show on screen while you resize. A 10×20 booth on your screen is a 10×20 booth on the floor.

Hold Sections Together With Boundaries

Draw a boundary around a section and lock the booths inside it so nothing drifts out of place. Or drop an empty boundary and let the builder arrange the booths for you.

Map Everything That Isn’t A Booth

Add zones for catering, seating, staging, and sponsor lounges. Add roads for outdoor layouts and open sites. Pull icons from the library for tables, seating, accessibility, and hospitality. On a large canvas, the minimap keeps you oriented, and keyboard shortcuts keep you off the side panel.

Set Up A Whole Row At Once

Select every booth in a row and set category, size, pricing, tickets, and sessions in one pass rather than one booth at a time.

Customize it to Your Brand

Add your brand’s colors and logos to the plan, and save the setup as a reusable template for your next event. 

Publish & Export

Each floor saves and publishes on its own, which means one floor can go live while you’re still working on the next. And when you need the plan outside the platform, export the full canvas as a PDF, SVG, PNG, or JPG for signage and print maps.

How Exhibitors Use the Floor Plan

Your exhibitors buy their booth while they register.

The plan sits inside the registration flow. They see live availability, filter by booth category to find the size and capacity they need, pick their space, and pay in the same session. While someone is checking out, that booth moves to on hold, so nobody sells the same space twice.

You decide how the floor is priced and who sees what. Price by booth size or by exhibitor category, and keep your premium positions for the tiers that paid for them.

Booth logos and images pull through from what your exhibitors upload themselves, so nobody on your team is chasing artwork.

How Attendees Interact With the vFairs Floor Plan

Your attendees get the same plan on the mobile app. And becomes their main source of wayfinding.

They can get a route from one point to another along with the distance and an estimated walking time, measured against the grid you built. Zones tell them where the food, the seating, and your sponsors are. They can tap a booth to see the exhibitor’s details.
