The venue’s booked. The vendors are signed. The hard bookings are all behind you.
What’s left now is everything that impacts how event day actually runs: the speakers, exhibitors, sponsors, and on-ground operations that hold it all together.
And that’s the work that gets left until it’s too late. Most teams coast on “the big stuff is done,” then spend the final week firefighting the smaller details nobody owned.
This month, we make sure that doesn’t happen, with a 90-day checklist worked backward from your event date.
90 days out, what’s left is harder to see and easier to postpone, like finalizing your speakers, exhibitors, and sponsors, and nailing the operations. Even though that’s the part that decides whether a crowd feels looked after or lost.
Start at your event date and count the weeks back, so every task has a real deadline instead of a “someday.”
With the venue decided, it’s time to lock in the people to fill it:
A booked room isn’t an experience yet. This is the point where you shape how the day feels for everyone:
The final stretch is pure operations, and it’s where a missed detail becomes a day-of crisis:
90 days of operations lead time is the difference between a planner who walks the floor calmly and one who’s firefighting through the opening keynote.
Same event, same budget. The only variable is who locked the details early.

Shanandoah Nicholson planned events in-house for 15 years before going independent. Yet, she keeps getting pulled in for the same rescue job: the speaker details nobody chased in time.
Her point is that confirming a speaker feels like the finish line, but it’s just the start. The bios, the headshots, the slides, the AV needs, those pile up until they’re a week-of emergency.
She has a separate warning for the exhibitor side, too. Keep each booth’s message to one clear line, and train the staff working it, because you have about three seconds to catch someone walking past.
Start chasing those details early, and you stop turning your own finish line into a last-minute sprint.
