September’s updates pull more of that work into vFairs and give you more control over how it looks and runs. Tickets fit your registration form the way you want them to, event updates reach participants on WhatsApp, organizers can undo review decisions when abstracts change, and meeting participants can talk without leaving the platform.
Let’s get into what’s new.
Your registration form is often the first real interaction someone has with your event. You’ve chosen the fields, the order, and the branding carefully. Then the ticket section shows up with its own fixed look, in a fixed spot, and the form stops feeling like one experience.
The updated ticket widget gives you control over both where tickets appear and how they look.
Setup starts in your event dashboard, where you create your tickets, add-ons, and payments. Add-ons cover merchandise, meals, parking, workshops, lounge access, insurance, and services like shuttles or translation. If none of those fit, define a category of your own.
From there, add the ticket widget to your registration form wherever it fits best, not just at the top or bottom. Then design it to match the rest of your form. Adjust colors, fills, borders, and banners, and reorder tickets so the ones you want to highlight come first.
Ticket state pills tell registrants where each ticket stands at a glance. Mark a ticket as Live, Low stock, Sold out, or Coming soon, and edit the pill text right on the canvas. A Coming soon pill builds anticipation for a ticket you’re about to release, while Low stock gives undecided registrants a reason to act now.
The result is a registration form that looks and flows like one piece, with tickets that feel built into your event rather than added on.
Email is still the backbone of event communication, but it isn’t always the fastest way to reach people. A session moves to a different room, doors open early, or a speaker change goes out the morning of the event. By the time someone opens their inbox, the moment has passed.
WhatsApp campaigns give you another channel for updates like these.
They work just like the email campaigns you already know. Pick a template, define your audience, and choose a send time. Use pre-approved vFairs templates to get started right away, or get fully custom messages approved through Meta.
Messages go out under your own branded number instead of a shared vFairs identity, so participants see your organization as the sender. Add buttons like “visit website” directly to your messages, and use the two-way inbox to have real conversations with participants who reply.
That means attendees, exhibitors, and sponsors get your updates on WhatsApp, and you can answer their questions in the same place.
We’ve made updates to the abstract management module to give organizers more control over review decisions.
If a submitter updates their abstract after it’s been reviewed, you can now undo the reviewer’s decision, one at a time or in bulk. From there, you can reassign the review so the updated version gets evaluated on its own merits.
Decision history keeps a full record of every past decision and piece of feedback on a submission. Organizers and reviewers can compare previous and current evaluations side by side, which makes it easier to stay consistent and explain how a decision was reached.
A few more improvements make the review process faster. Already have submissions collected outside vFairs? Import them in bulk via Excel and skip the submitter portal entirely, with your template mapping automatically to your custom abstract form fields. Reviewers also get a split view for reading and deciding at the same time, plus bulk accept and reject to move through large volumes of submissions faster.
For academic conferences and calls for papers, this means a review process that reflects the final version of every submission and keeps a clear record of how each one got there.
Booking a meeting is only half the job. Participants still need to confirm the agenda, share materials, or follow up once the meeting is over. Without a place to do that inside the event, those conversations scatter across email, LinkedIn, and text messages, and the context gets lost.
Meeting chat keeps those conversations tied to the meeting itself.
Participants can now start a chat with any meeting straight from their meetings tab. Click the chat icon, then choose a group chat with everyone in the meeting or a 1:1 with a specific participant. A chat window opens, named after the meeting, so every conversation is easy to tell apart.
Use it before the meeting to share notes and agendas or ask clarifying questions. Use it after for follow-ups, Q&A, or sharing files, all without leaving the platform.
Meeting chat is live on web now, with mobile app support on the way.
