The Framework That Makes Every Event Smarter Than the Last

Events have always been a powerful GTM channel. But for most teams, they’re also a bit of a hamster wheel.

You plan, you execute, you follow up, and then three months later, you’re starting from scratch all over again.

Same problems, same inefficiencies, same question from leadership at the end of it all: “What did we actually get from this?”

The teams breaking out of that cycle aren’t doing it by running more events. They’re doing it by building event programs, and there’s a real difference between the two.

This month, we’re getting into exactly what that looks like. Let’s go.

In This Issue, We Cover:

  • Spotlight: A five-step framework to build an event program that compounds
  • Fresh From the Pod: How Airbus runs 300+ events a year without losing their minds.
  • Reads Worth Your Time: Everything you need to go deeper on the infrastructure piece.

Spotlight: How to Build an Event Program that Compounds

A program is more than a calendar of events. It’s the infrastructure underneath them — the system that captures data at every touchpoint, carries attendee history forward, and gets smarter with every cycle so your team isn’t starting from scratch each time.

Here’s the 5-step framework to get there:

  1. Set Your Foundation: Define your GTM motion, write down your success metrics, and get Sales, Marketing, and Product aligned before you book a single venue.
  2. Build Your Portfolio: Different formats serve different goals. Webinars for awareness. Dinners for deal acceleration. Map formats to the stages of your buyer’s awareness level. Don’t ask one event to do everything.
  3. Deploy the Right Infrastructure: Event tech is what makes the program compound. It captures behavioral signals, syncs them to your CRM, automates follow-up, and gives sponsors the real-time ROI data that makes them renew.
  4. Execute With Precision. The 60 days before and the 24 hours after are where the pipeline is won or lost. Build pre-event momentum like a product launch. Follow up fast, and make every touchpoint feel personal.
  5. Measure, Learn, and Compound: Track pipeline generated, cost per opportunity, and year-over-year attendance growth. Run a debrief within a week. Let every event make the next one sharper.

Fresh From the Pod: What It Actually Takes to Run Events at Scale

That five-step framework looks clean on paper, but what does it actually look like when you’re running 300 events, 2,000 site visits, and 30 trade shows a year across five countries?

Oliver, Head of Events at Airbus, has been there.

For years, his team was stitching everything together across a patchwork of tools; each handling a different piece, none of them talking to each other. No unified data, no end-to-end visibility, and a team making big calls largely by gut feel.

So Oliver consolidated his entire event tech stack onto vFairs and built a proper event program around it.

Here’s what that shift taught him:

  • Fragmented Tools Mean Fragmented Data: When everything lives in one platform, patterns emerge, decisions get sharper, and your team stops flying blind.
  • Change Management is Half the Battle: Technology only works if your team actually uses it. Airbus trained a small group of people first, got them comfortable with the platform, and then had them bring the rest of the team along.
  • The Right Support Changes Everything: The platform worked for Oliver’s team exactly like they wanted because the support team was helping them throughout the time. This shows the importance of choosing technology partners with responsive support teams.
